The Onboarding Associate will work as part of the broader First Republic Private Wealth Management (PWM) onboarding team in support of the delivery of “white glove” service to investment professionals joining the firm. This position will assist with the smooth onboarding of newly hired Wealth Managers with a primary focus on the transition of Wealth Manager client accounts to PWM. The Associate will need to travel to offices around the country and initially work onsite with the investment professionals and support staff joining the firm.

 

The critical function of the job will be to work with Wealth Managers (WMs), Client Service Associates (CSAs) and Client Administration Team (CAT) colleagues to successfully open and transition client accounts to PWM. The Associate’s primary responsibility will be to complete new account paperwork in an accurate and timely manner; submit accounts for opening and ACATs for transfer; follow through on all new account processes and resolving items (such as rejects) efficiently.

 

During times when there are no Wealth Managers in transition, the Associate will be trained to rotate into other departmental areas of support, for example, into Client Services or Client Administration roles

Responsibilities

  1. Onboarding new PWM hires and their clients, which involves:
  • Occasional travel to other offices to initially work onsite with new hires.
  • Prefilling and reviewing new account paperwork, submitting accounts, creating appropriate “Know Your Client” (KYC) requirements, following all new account processes and addressing any inconsistencies.
  • Tracking exception approvals and one-off requests.
  • Submitting/Tracking ACAT/Non-ACAT requests, including Transfer statement review.
  • Cost basis tracking, delivery and/or input.
  • Completing/submitting all audit related paperwork for final approval.
  • Preparation for arrival of new hires, including handling business cards, office supplies and the preparation and delivery of marketing materials.
  1. Becoming a subject matter expert (SME) on procedures and documents for new accounts and Private Wealth Management core systems and processes.
  2. Identifying and responding to client service needs of onboarding personnel, answering routine questions and escalating issues to management in a thoughtful manner.
  3. Serve as a liaison to functional areas across the organization, most notably Operations and Technology, for onboarding professionals.
  4. Perform other duties and responsibilities as required or assigned by supervisor or senior managers which may include special projects.

Qualifications

  • Bachelor’s degree strongly preferred
  • 1 to 3 years of financial services experience at a brokerage firm or registered investment advisor/manager preferred
  • New accounts or client onboarding experience a plus
  • Series 7 license a plus
  • Proven history of providing extraordinary service
  • Proficient in Microsoft Excel and Word

  • Ability to understand and effectively communicate Private Wealth Management policies and procedures
  • Ability to work with a virtual team of Subject Matter Experts across departments (e.g. operations, technology, compliance)
