First Republic Bank is looking for an extraordinary result driven Talent Acquisition Coordinator to assist with the full-cycle recruitment and onboarding process.  This position will be involved in many aspects of the recruiting/onboarding process, from reaching out to potential candidates, to partnering with recruiters, working with hiring managers, scheduling interviews, generating offer letters, maintaining data accuracy in applicant tracking and HRIS systems and delivering an outstanding candidate experience.

 

The ideal candidate is a highly organized self-starter with a strong ability to prioritize, and is able to be flexible and provide support wherever is needed.

Responsibilities

  • Support Talent Acquisition Team with day to day scheduling process; conference room reservations, Outlook meeting invites, scheduling phone, video, and in-person interviews
  • Keep people on time and in the right place
  • Participate in creating a great candidate experience throughout the recruitment process
  • Book candidate travel arrangements (flights, hotels)
  • Ensure timely candidate correspondence and follow-up
  • Reviews all applicant paperwork for completeness and accuracy
  • Effectively use iCIMS ATS system to track & manage the recruitment process to ensure key stakeholders are kept updated and provided insight into process
  • Maintain iCIMS recruiting profiles, including applicant tracking notes, status, feedback, and other custom data fields
  • Ensures that all jobs are posted accurately and in a timely manner
  • Secures post-interview feedback
  • Provides support to Talent Acquisition Team  to ensure accurate, timely and consistent processing of external and internal applicants for active positions
  • Provide weekly reports and metrics on recruiting activity
  • Partners with HR Business Partners to manage the day-to-day administration of positions assigned in the ATS system
  • Identify and implement best practices and recruiting trends into talent acquisition processes
  • Assist with HR departmental initiatives and needs as required

Qualifications

SKILLS, KNOWLEDGE AND ABILITIES:

  • Minimum 2 years of administrative and/or recruiting experience

  • Ability to thrive in ambiguous and fluid environment with a strong drive to succeed

  • Applicant Tracking System experience, iCIMS experience a plus

  • Congruence with First Republic’s Core Values

  • Experience with applicant tracking systems is a big plus

  • Proven track record of being able to multi-task and function effectively in a fast-paced environment

  • Excellent organizational skills, communication skills and follow up skills

  • Ability to successfully interact at all levels of the organization & develop highly collaborative working relationships (executive, professional, administrative)

  • Self-driven, superior organizational skills, integrity and great follow through on tasks

  • Innovative, extremely creative and constantly looking for ways to improve upon things

 

PHYSICAL/MENTAL REQUIREMENTS:

  • The ability to learn and comprehend basic instructions; understand the meanings of words and respond effectively; and perform basic arithmetic accurately and quickly
  • Vision must be sufficient to read data reports, manuals, and computer screens
  • Hearing must be sufficient to understand a conversation at a normal volume, including telephone calls and in person
  • Speech must be coherent to clearly convey or exchange information, including the giving and receiving of assignments and/or directions
  • Position involves sitting most of the time, but may involve walking or standing for brief periods of time
  • Must be able to travel as position requires
  • May be required to lift 25-50lbs
