The primary function of the Insurance Associate role is to provide a wide range of administrative and relationship management support to assigned Estate and Business Planning  Specialist (“EBPS”) in our New York Office.

 

This position requires strong relationship management skills in order to build strong, successful partnerships between all parties. The candidate must be able to work successfully with colleagues to provide support to senior wealth management professionals in insurance offerings. This entails a myriad of duties administratively, organizationally, and procedurally. The position requires one to be able to successfully wear many hats while accomplishing varied tasks at hand. The ideal candidate  is a motivated, hard-working, well-organized individual who does well under pressure and can juggle many different tasks at once. Dedication to excellence, desire to do the right thing, strong work ethics, and a positive attitude are required.

 

 

Responsibilities

 

Provide general administrative support:

  • Manage calendars and schedules
  • Answer phone calls, emails, scanning and handle faxes
  • Set-up meetings (logistics, prep work, video conference) and take detailed notes
  • Prepare marketing materials, presentations and templates
  • Process business expense requests
  • Distribute incoming mail to team
  • Manage opportunity list and underwriting files

 

Prepare memos, letters and other documents and reports for internal and external distribution. Translate conceptual direction into succinct communications.

Support day-to-day sales and service for life insurance business line.

Responsible for managing business  utilizing our agency management system, Smart Office.  

Annual premium notice calendaring/communications .

Commission/revenue tracking for cases initiated by EBPS.

Provides input and suggestions for process improvements.

When required, work with Compliance on any requested approvals or reviews.

Support overall operations and compliance of the insurance business line for EBPS.

Perform duties & responsibilities specific to department functions & activities.

Performs other duties & responsibilities as required or assigned by supervisors.

 

Responsibilities include the following: 1) adhering to and complying with all applicable, federal and state laws, regulations and guidance, including those related to Anti- Money Laundering (i.e. Bank Secrecy Act, USA PATRIOT Act, etc.), 2) adhering to Bank policies and procedures, 3) completing required training, 4) identifying and reporting potential suspicious activity to the BSA/AML Officer, and 5) knowing and verifying the identity of any customer(s) that enters into a relationship with the Bank.

 

Qualifications

 

Strong interpersonal skills to interface with clients, prospects, colleagues, and insurance providers

 

  • Bachelor of Science / Bachelor of Arts degree required or equivalent work experience
  • Use of tact and discretion when dealing with clients and/or sensitive data
  • Excellent customer service skills
  • Strong organizational, communication (verbal and written), and client relationship management skills - interactions will be in person, telephonic or via email
  • Ability to work independently and solve work issues under minimal supervision
  • Exceptional problem solver that employs great judgment
  • Willingness to step in to “help get the job done” and willing to work extra hours as necessary
  • Ability and desire to work in a fast paced environment
  • Proven ability to handle pressure, multi-tasking, and prioritizing work at all times. Managing various projects to completion.
  • Proficient with using personal computers in a Windows-based environment (including Microsoft Office Suite)
  • Excellent attention to detail and high degree of accuracy and consistency
  • New York Life Insurance License required
