The primary function of the Affinity Group Associate is to provide support, administrative services and analysis to the various verticals and management team of the Financial Executives Alliance (FEA).



  1. Events:

    • Research restaurant venues for suitable meeting locations/visit in person as needed
    • Venue management – contracting, price negotiation, menu selection, estimated & final guest counts, room configuration, coordinate A/V, follow up with venues for event receipts, kosher meal delivery.
    • Identify industry conflicts (research competing organizations and conduct web searches on major conferences)
    • Oversee all aspects of name badge creation and membership plaques, including delivery/shipment tracking
    • Attend and act as a liaison at events as requested, including arriving early/staying late to insure proper set up
    • Plan and organize event promotion schedule with National Marketing Director.
    • Join event planning calls where necessary

    • Board communications - manage outlook calendar with save the dates
    • Draft, edit, PDF and download all invitations and manage timing on communications to all events
    • Maintain Events Calendar in excel format, on Outlook and on team white board
    • Follow up on firms/individuals who we’ve lost track of
    • Verify individual RSVPs via e-mails and phone calls of event attendees
    • Maintain content for internal team page on Bank Intra-site (Collaborate)

    Research and Data Tracking:
    • Conduct due diligence on membership applications as needed
    • Follow up on firms/individuals who we’ve lost track of
    • Maintain tracking document for Industry Expert capabilities, Membership attendance, venue locations
    • Maintain website content including – approved articles, refresh job board, board member content.
    • Conduct various internet research projects as directed – searching for members on LinkedIn



Skills, Knowledge and Abilities:
• Preferred 2-5 years of work experience in Events and Marketing
• Excellent organizational, communication (both verbal and written), and client relationship management skills (whether interaction is in person, over the telephone or via email)
• Exceptional interpersonal skills to interface with clients, prospects and colleagues
• Excellent customer service skills
• Will be required to multi-task on a daily basis due to fast paced business environment and demand
• Maintain productive and upbeat attitude within high pressured environment
• Ability to work independently and self-start projects under minimal supervision
• Proven ability to handle pressure and prioritize work
• Outstanding skills using personal computers in a Windows-based environment (including Microsoft Office Suite and Outlook)
• Excellent attention to detail and high degree of accuracy and consistency
• Preferred experience with basic html coding but not required
• BS/BA degree or equivalent experience preferred

Physical Requirements:
• Vision must be sufficient to read data reports, manuals and computer screens.
• Hearing must be sufficient to understand a conversation at a normal volume, including telephone calls and in person.
• Speech must be coherent to clearly convey or exchange information, including the giving and receiving of assignments and/or directions.
• Position involves sitting most of the time, but may involve walking or standing for extended periods of time.
• May be required to travel to events in California, Massachusetts, Connecticut and New York with proper notification
• Navigate transit in various US cities for meetings or events
