The CEA/Facilities Coordinator is responsible for answering & directing all incoming calls to the general numbers, greeting clients/guests, scheduling and maintaining conference room calendars, distributing courier packages and delivering faxes.  This individual must be highly customer service oriented and courteous to all individuals.


The CEA/Facilities Coordinator also works directly with the Director of Facilities & Administrative Services and Local Regional Managers, to oversee the facilities maintenance and office moves for the San Diego area.  The CEA/Facilities Coordinator will also have strong project management and communication skills for directing and coordinating a variety of facilities projects.  This knowledge will also be used to direct staff, vendors, and contract resources for the Administrative Services Division.


Essential Duties and Responsibilities:

  • Responsible for the distribution of the mail, delivery/courier services, postage purchasing
  • Provides leadership to assure Administrative Services issues/problems are resolved and/or escalated in a timely, cost effective manner.
  • Oversee compliance to safety and security programs and report deficiencies
  • Participate in tenant improvements and branch build-outs, including office moves and facilities maintenance as directed by the Director of Facilities & Administrative Services.
  • Keep record of all employee facilities requests and respond to request promptly, keep employees informed on completion status.
  • Work with Field Services concerning MFP equipment, including supplies needed. 
  • Located at San Diego – High Bluff Reception Desk
  • Responsible for implementing procedures for reception coverage during break, lunch and absences.
  • Establish and maintain business partner relationships with outsourcing vendors, service providers, suppliers, Information Systems staff and department heads.
  • Responsible for answering and directing all incoming calls to the general numbers, greeting clients/guests, distributing courier packages and delivering faxes
  • Responsible for directing guests to the appropriate personnel.
  • Responsible for scheduling and maintaining conference room calendars, and reserving office space for visitors at SDDT and SDHB.
  • Processes new employees with FRB access badges, building access badges, alarm codes (if needed) and any other needs they may have.
  • Assist the lending teams by compiling marketing/loan applications packets and loan folders.
  • Performs opening & closing procedures for the front desk and security watch during business hours for all parties entering the floor.
  • Assist in CEA/Facilities duties at the San Diego Downtown location. This includes visiting the site normally once per week.  
  • Reconcile Parking Permits issued to SDDT staff,  maintain records and submit invoicing
  • Coordinate catering and participate in scheduling special events at SDHB and SDHB 
  • Performs other duties and responsibilities as assigned by the Director of Facilities and Administrative Services
  • Maintains the SDHB & SDDT Testimonials.
  • Maintains floor plans for all San Diego County offices
  • Makes quarterly visits to all San Diego County offices.

Additional Duties and Responsibilities:

  • Remains informed of job-related issues through networking, training programs, seminars and trade publications
  • Attends meetings when necessary
  • Requires a routine work scheduled of Monday thru Friday 8am – 5pm but must be willing to work a flexible schedule during facilities projects and/or emergencies. 
  • Performs other duties when assigned.


Experience/Skills Required:

  • Requires a minimum of one year experience in a receptionist position.
  • Requires experience using Outlook and the MS Office Suite of applications.
  • Must possess excellent written and oral communications skills and the ability to clearly define projects, objectives, goals, schedules and assignments.
  • Must possess the ability to work effectively with business personnel at all levels as well as with outside vendors and contractors.
  • Must possess strong influence/negotiation skills.
  • Must possess a broad knowledge of all bank operations.
  • Requires strong interpersonal and organizational skills, including the ability to work independently and meet deadlines.
  • Requires willingness and ability to adapt to rapid change in order to support and use future technology.

Education Requirements:

  • BA/BS degree preferred or the equivalent skill, knowledge and mental development.

Physical Requirements:

  • Vision must be sufficient to read data reports, manuals and computer screens.
  • Hearing must be sufficient to understand a conversation at a normal volume, including telephone calls and in person.
  • Speech must be coherent to clearly convey or exchange information, including the giving and receiving of assignments and/or directions.
  • Physical ability must be sufficient to perform light maintenance, sitting for extended periods of time, lifting, moving and/or relocating equipment, boxes, and furniture up to 30lbs.
  • The ability to travel to our offices in the San Diego County area.
