In the Marketing and Communications department, we aim to both share this value proposition with current and prospective clients, as well as provide extraordinary service ourselves to all constituents of First Republic.

     

    The Executive Assistant to the Chief Marketing and Communications Officer (CMCO) is a key representative in providing exceptional service on behalf of the department and its leadership, as well as reflecting the culture and values of the Bank. Primary responsibilities include making sure the CMCO is responsive, through effective inbox management, and accessible, through effective calendar management, along with general administrative duties. CMCO’s office oversees all marketing, communications and investor relations activities for First Republic, in a fast-paced, high volume environment that spans multiple cities.

     

    This role requires the ability to manage multiple priorities while remaining flexible and adapting to change. Project management experience is a plus. Excellent communication skills, a strong work ethic and curiosity are required. Success in the position includes the ability to establish a strong internal network, within and outside of the department; anticipate the CMCO’s needs; and develop a strong knowledge of the Bank’s business model, heritage and culture.

    Responsibilities

    • Establish and maintain strong working relationships with colleagues, along with the Bank’s senior leadership and management teams, as a representative of the executive and department, through excellent verbal and written communication skills.
    • Through effective inbox and calendar management, maintain a highly responsive and accessible executive office that meets deadlines in a timely fashion and consistently follows through on requests and action items.
    • Support internal and external event-related activities as needed, including researching venues, organizing catering, managing invite lists, and other related items.
    • Support project-related activities as needed, including meeting coordination, correspondence, project plans and follow through. Support communication and reporting needs for the CMCO and department overall, as needed. May include monthly department updates, calendar overviews, and quarterly executive and board reporting.
    • Perform general administrative duties, including but not limited to travel arrangements and expense reimbursement.
    • Create and assemble all materials needed for meetings, including agendas, presentations, and minutes.
    • Maintain our high standards of excellent execution and exceptional service as a steward of the brand and representative of the department.
    • Travel as needed to markets outside of San Francisco, which include but are not limited to New York, Boston, Los Angeles, San Diego, Portland, OR, Palm Beach, FL and Jackson, WY (approximately 20% of the year)
    • Adhere to all related regulatory and privacy requirements.

    • Confident interacting with executives
    • Able to execute discretion with confidential information
    • Excellent oral, written and visual communication skills
    • Strong Microsoft Outlook, Word, Excel and Powerpoint skills
    • Strong project management and organizational capabilities, with an exceptional attention to detail
    • Experienced working within fast-paced environments, and able to manage multiple priorities and projects simultaneously
    • Skilled at building networks and interpersonal relationships
    • Focused on extraordinary service by embracing the Bank’s culture and values

    MENTAL/PHYSICAL REQUIREMENTS:

    • Vision must be sufficient to read data reports, manuals and computer screens.
    • Hearing must be sufficient to understand a conversation at a normal volume, including telephone calls and in person.
    • Speech must be coherent to clearly convey or exchange information, including the giving and receiving of assignments and/or directions.
    • Position involves sitting, standing and walking.
    • May be required to lift 25-50 lbs.
    • Must be able to travel as required.
