    In Accounting, we’re responsible for recording and reconciling financial transactions, processing vendor payments, processing payroll and calculating and remitting taxes. We also produce external and internal financial reports and interpret accounting guidance.

    The Administrative Assistant works directly with the Controller, Accounting Department and the Executive Assistant to the Chief Accounting Officer to perform administrative and clerical duties that help the department run efficiently. You will have the opportunity to be a team player who is motivated to take on projects that require initiative and close attention to detail, while adapting to rapidly changing priorities.


    What you’ll do as an Administrative Assistant:

    • Directly interface with all levels of internal clients and team members and provide overall team support to the Accounting Department.
    • Assist with onboarding new department employees, including collaborating closely with HR, Facilities, IT and other departments to ensure new employees are set up for immediate success.
    • Coordinate the onboarding and offboarding of professional services consultants.
    • Support the planning and execution of team events and meetings, such as town halls, holiday parties and volunteer events.
    • Arrange internal and external meetings and conference calls, including gathering and preparing the agenda and materials and arranging logistics.Prepare memos, letters, and other documents/reports for internal and external distribution and provide clerical support.
    • Support space planning and coordination and keep the work site organized and client-ready.
    • Maintain invoice files and centralized vendor files; ensure invoices are reviewed and approved by management and delivered to Accounts Payables for payment.
    • Handle office-related logistics, such as ordering supplies and shipping packages.Assist in booking travel and hotel arrangements.
    • Support department record management and retention.
    • Manage department Collaborate site and department calendar.
    • Adhere to the applicable federal and state laws, regulations and guidance, including those related to anti-money laundering (e.g., Bank Secrecy Act, US PATRIOT Act, etc.) as well as Bank policies and proceduresIdentify and report suspicious activity to the Anti-Money Laundering Officer
    • Know and verify the identity of any client who enters into a relationship with the Bank


    You could be a great fit if you have:

    • A minimum of three years of experience as an Administrative Assistant for a large team, with a bachelor's degree desired
    • Strong interpersonal and client service skills and the ability to build positive rapport and demonstrate a high level of professionalism at all times
    • The ability to work effectively with business personnel at all levels, as well as with outside vendors and contractors
    • Excellent written and oral communications skills
    • Strong organizational skills, including the ability to work independently and meet deadlines
    • The ability to work in a fast-paced and high-volume environment and manage multiple and sometimes conflicting priorities
    • The desire to be a team player with a positive, helpful and approachable attitude

    Job Demands:

    • Must be able to review and analyze data reports and manuals; must be computer proficient.
    • Must be able to communicate effectively via telephone and in person.
    • May be required to lift 25-50lbs.
