    In Relationship Management Team Support, we document, process and underwrite both residential and commercial loans. We provide exceptional client service to internal and external partners. We support our Relationship Managers in all aspects of the loan process to ensure that we are delivering a seamless lending experience to our clients.

    As an Executive Assistant, you’ll support the Deputy Chief Banking Officer in all administrative aspects of day-to-day work. You’ll work closely with the Deputy Chief Banking Officer to optimize efficiency through effective administrative support, including interacting with clients, prospects and employees; answering phones; scheduling meetings and appointments; making travel arrangements; preparing correspondence; and managing special projects. In this position, you’ll draw on your proven ability to take high-level direction and execute on various business initiatives.

     

    What you’ll do as an Executive Assistant:

    • Provide administrative support in all aspects of the Deputy Chief Banking Officer’s day-to-day work.
    • Coordinate and set up meetings, including gathering and preparing the agenda and materials, arranging logistics (conference room, conference call-in and videoconference details), and taking notes.
    • Ensure that client relationships are maintained at the highest possible level, providing an exceptional client experience through every interaction.
    • Serve as a liaison between the Deputy Chief Banking Officer and clients, internal employees and third-party vendors.
    • Work with confidential information.
    • Resolve client issues using multiple systems and monitoring reports.
    • Prepare clear and concise memos, letters, and other documents and reports, with minimal direction, for internal and external distribution.
    • Execute business initiatives based on high-level conceptual direction.
    • Manage incoming phone calls, internal and external, as well as incoming and outgoing mail.
    • Schedule appointments and maintain the calendar for the Deputy Chief Banking Officer, including making travel and hotel arrangements, demonstrating independent decision-making and judgment.
    • Copy, file/organize and distribute various reports and documents.
    • Create and submit expense reports, sponsorship requests and check requisitions.
    • Create and maintain client and prospect contact lists for marketing mailings and various other mailers.
    • Order office and marketing supplies and create marketing packages.
    • Interact with all levels of external clients and prospects as well as internal team members, including senior executives.
    • Lead and manage special projects, navigating the organizational infrastructure to solve or resolve problems.
    • Provide input and suggestions for process improvements.
    • Stay in touch with all facets of the company and identify potential issues before they escalate.
    • Assist with interview scheduling and the onboarding and integration of new hires.
    • Make catering arrangements for team and client meetings.
    • Attend meetings.
    • Maintain a flexible work schedule.

     

     

     

    You could be a great fit if you have:

    • A bachelor’s degree
    • Three to five years’ experience as an executive assistant
    • An understanding of banking and lending (preferred)
    • The proven ability to provide an exceptional level of client service
    • Excellent attention to detail and accuracy
    • Strong organizational skills
    • Intermediate to advanced technical skills, including proficiency with Microsoft Office
    • A high level of professionalism and confidentiality
    • A willingness to work hard and the ability to thrive in a fast-paced environment

    Job Demands:

    • Must be able to review and analyze data reports and manuals; must be computer proficient.
    • Must be able to communicate effectively via telephone and in person.
    • Must be able to travel as position requires.
    • May be required to lift 25-50lbs.
