Administrative Services and Facilities comprises several groups supporting corporate office operations for First Republic, including Facilities, Corporate Purchasing, Mail Room, Reception, and Architectural Design & Development. Our people serve our colleagues’ in-office needs in multiple regions throughout the United States.
The Client Experience Associate/Admin Services Coordinator works as a member of the Administrative Services Department to assist with the day-to-day office operations of the Portland facility, and provides support to the local regional managers. This individual will have strong communication skills for directing and coordinating a variety of projects, and will assist in maintaining a professional work environment. This individual must be highly customer service-oriented and courteous to all individuals that come into the office.
What you’ll do as a Client Experience Associate:
Create a memorable customer service experience for current and potential clients, and provide ongoing support to internal colleagues.
Responsible for answering and directing incoming calls and greeting clients/guests.
Responsible for distributing mail, courier packages, and other shipments.
Establish and maintain business partner relationships with outsourcing vendors, service providers, suppliers, Information Systems staff, and department heads.
Provide leadership to ensure Administrative Services issues/problems are resolved and escalated in a timely, cost-effective manner.
Maintain marketing and brochure supply for PBO/Preferred Banking, and orders supplies for the office as needed.
Spot checks conference rooms and lobbies throughout the day to ensure environments are tidy and clean for guests.
Coordinate physical access to the office (ID badges/alarm codes) for employees and vendors.
Assist with small projects/tasks for local managers.
Perform duties & responsibilities specific to department functions & activities.
Performs other duties & responsibilities as required or assigned by supervisor.
Responsibilities include the following: 1) adhering to and complying with all applicable, federal and state laws, regulations and guidance, including those related to Anti-Money Laundering (i.e. Bank Secrecy Act, USA PATRIOT Act, etc.), 2) adhering to Bank policies and procedures, 3) completing required training, 4) identifying and reporting potential suspicious activity to the BSA/AML Officer, and 5) knowing and verifying the identity of any customer(s) that enters into a relationship with the Bank.
